Marshal8e6 Adds ArcMail Email Archiving to Lineup; Provides Comprehensive Solution for Security and Compliance

SHREVEPORT, LA – July 1, 2009 – Arcmail Technology, Inc. a leading provider of email archiving and management products announced today its latest partnership with Marshal8e6 a global provider of Web and email security products. Through this partnership, Marshal8e6 will add email archiving to its integrated Secure Web Gateway (SWG) and email security products and create a “one-stop-shop” source for effective multi-layered security. Education agencies and districts can now protect their networks and their students while meeting federal regulations with one cost-effective security package.

"The partnership between Marshal8e6 and ArcMail is a perfect marriage of complementary technologies," said Todd Gates, chief executive officer of ArcMail. "Marshal8e6 recognizes education customers' needs and the ease that a network appliance delivery model brings to the table. We see Marshal8e6 and ArcMail as a hand-in-glove fit for an end-to-end email solution. We look forward to growing, leveraging and maximizing this partnership on many levels."

Despite reduced IT budgets and resources, Marshal8e6 is able to address the increased challenge of protecting students and district networks while ensuring federal and district policy compliance. Their turn-key Secure Web Gateway and email security products protect students and networks from the emerging security issue of blended threats: attacks that prey upon multiple vulnerabilities within networks. At the same time, Marshal8e6’s solutions allow education institutions to be compliant under two federal regulations: the Family Educational Rights and Privacy Act (FERPA), and the Federal Rules of Civil Procedure (FRCP).

Under both federal requirements, educational institutions that receive funding from the U.S. Department of Education must maintain strict controls over who has access to student records and ensure the privacy of student information (FERPA), and must maintain an inventory of various documents and data storage systems to determine whether the documents must be disclosed for possible e-discovery (FRCP). Marshal8e6’s Secure Web Gateway and email security products allow districts to block, monitor and report on all email and Web traffic, while monitoring for any data leakage, as required by FERPA, and ArcMail’s products automatically capture, index and store inbound and outbound emails and attachments for possible e-discovery, as required by FRCP. Marshal8e6 customers can be assured that they meet both regulations and that their students are secure while surfing online.

“We chose Marshal8e6 because their solutions are focused specifically on the education space,” said Michael Waranowicz, network administrator at Sayreville Public Schools. “Previously, we had to use multiple vendors to take care of our security needs. With Marshal8e6, we see significant cost and support benefits by having all our email and Web security needs taken care of by one vendor.”

In the past few months alone, Marshal8e6 has added 20 large schools districts and the State of Ohio. Marshal8e6 now has nine state-wide contracts and protects over 8 million students in North America. For information on discounts of up to 30 percent on Marshal8e6 Secure Web Gateway and email security products, please visit http://www.marshal8e6.com/education

ArcMail Listed in Leading Analyst Firm’s Report on Email Archiving Appliance Vendors in Small and Midsize Business Sector

Turnkey Solution Offers Increased Employee Productivity Through Best Practices

Shreveport, LA – April 3, 2009 – ArcMail Technology announces today that it has been listed in the Gartner E-Mail Appliance Vendor Market report published January 16, 2009. The report analyzes the emerging market for e-mail archiving appliances. According to Gartner, ArcMail holds 20 percent of this email archiving market share worldwide at year end 2008.

"We believe this report underscores ArcMail’s market share position as a superior plug 'n play email archiving product," remarked William T. Gates, CEO of ArcMail. "As industry leaders, we understand the needs of the market and continue to build functionality into products that will give our users a competitive advantage."

Introduced in 2005, ArcMail Defender is a turnkey e-mail archiving product that automatically captures all inbound, outbound and internal email and securely stores them. Defender eliminates the need for large mailbox files and makes searching through e-mails fast and easy, by combining archiving functionality with built-in storage management. The product is easy to buy, install, and use. The Defender saves time, reduces costs, and increases productivity while solving compliance issues.

According to Gates, "While the SMB market is the fastest growing sector for email archiving, we’ve also seen tremendous success at the enterprise level due to the fact that our solution is so robust, yet easy to deploy and use. For about 10 percent of the cost from the big vendors, our largest customers have been up and running in just days—not weeks or months—because it works with any IT infrastructure."

Gartner Inc. "E-Mail Archiving Appliances Target Small and Midsize Organizations With Limited Requirements," Carolyn DiCenzo, January 16, 2009.

ArcMail Technology Endorsed in Second Edition of The e-Policy Handbook

Providing best practices and policies for archiving and managing email to meet growing legal, legislative and regulatory demands

Shreveport, LA – January 14, 2009 – Announced today, the second edition of The e-Policy Handbook (AMACOM, January 2009) by e-Policy expert and author Nancy Flynn, features Shreveport, LA-based ArcMail Technology, a leading provider of email archiving and management solutions, worldwide.

Recent federal court rulings, state legislation, and business and industry regulations which require companies to establish and implement formal policies and email management processes were among the compelling reasons Flynn opted to publish the second edition of her book.

William T. Gates, CEO of ArcMail, explains, "If you have a company of any size, it is simply a business and industry best practice to archive and manage your email. Since more than 90% of business documents are now electronic files, and email is the primary medium for exchanging them, it would be remiss for a company to overlook email archival as a means to enhance cost-effectiveness, proactively address security risks, and safeguard intellectual property. The e-Policy Handbook can serve as your first reference to the critical elements of legal protections and compliance with the newest cyberlaws."

According to Flynn, "Workers’ email and other electronically stored information (ESI) create written business records that are the electronic equivalent of DNA evidence." Laws put in place through the Freedom of Information Act (FOIA), the Federal Rules of Civil Procedure (FRCP), the Sarbanes-Oxley Act (SOX), Health Insurance Portability and Accountability Act (HIPAA), the Gramm-Leach-Bliley Act (GLBA), Securities and Exchange Commission (SEC), and the Financial Industry Regulatory Authority (FINRA), to name a few, demand that this "DNA" be retained and maintained.

"We are excited to work with Nancy Flynn and The ePolicy Institute in raising awareness around this issue," said Gates. "We intend to provide this book to every company that seeks knowledge in meeting today’s policy requirements."

Flynn is a recognized expert in workplace email, IM and Internet policy and management who also serves as an expert witness in lawsuits with an email or Internet component. She has been featured in Fortune, The Wall Street Journal, Business Week, and on "CNN Headline News," and the "CBS Early Show." She recommends that organizations:

Establish formal rules and written policies governing email usage, content, and retention.

Educate all employees, from the summer intern to the CEO, about email- and evidence-related risks, rules, and regulations.

Enforce e-Policies with a combination of disciplinary action, up to and including employee termination.

Choose technology that includes tools that are designed to monitor usage, filter content, block bad behavior, and archive all-important email records. Make sure it accomplishes this securely, compliantly, and in real time.

Added Gates, "email archiving and management policies are critical to business and industry. However, a policy without technology to back it up is just a piece of paper. We recommend that all organizations write a policy, educate employees and enforce that policy with the tools that ArcMail provides. This is not the kind of technology to be put off for a later date. It is well-advised and just makes good sense to get up to speed today."

ArcMail Announces First Email Archiving Appliance with Built-in Blu-Ray Backup and Email Export Capability

Blu-Ray drive enables fast, direct backup and the ability to export email directly to DVD and Blu-Ray media for use in discovery, Freedom of Information requests or internal investigations

Shreveport, LA – July 22, 2008 – ArcMail Technology, a leading provider of email archiving and management technology, and recent winner of the Network Products Guide 2008 Product Innovation Award, again raised the bar by announcing the inclusion of Blu-Ray disks on its ArcMail Defender U380 (8TB), U3120 (12TB) and U3160 (16TB) models. The disks are now optional on other Defender models as well. ArcMail Defender is a stand-alone network appliance offering up to 16 terabytes of raw storage and data integrity technology that provides comprehensive archive and data management for organizations of all sizes.

"The addition of Blu-Ray drives to our Defender Email Archive appliances enables organizations to now perform backups of their email archive directly to high capacity, high bandwidth random access removable storage, rather than much slower traditional media such as tapes, making both backup and restore operations much faster," said Dean Richardson, chief marketing officer of ArcMail Technology. "Using ArcMail’s patent pending DirectExporttm technology, an administrator can search an entire email archive and produce either a DVD or Blu-Ray disk containing all the emails from that search in a matter of minutes. This brings the speed of data backup and production to an unprecedented level. To be able to just click a button and burn that data to a DVD or Blu-Ray disk will save hours, if not days of work for already overloaded IT staffs."

A transparent archiving solution, the ArcMail Defender appliance runs in the background of a network infrastructure without interrupting productivity or work flow. Administrators and end-users can search and retrieve any required information while at the office or remotely on any web browser, including PDA’s and Smart Phones. In seconds, users can search emails based on sender, recipient, subject, attachment file name/type, date range or full text within the email bodies or attachments. Searched email may be read through the user interface or immediately restored to the user’s email account.

The award-winning ArcMail Defender appliances archive and index all inbound, outbound and internal email in real-time and are compatible with MS Exchange, Lotus Notes, Groupwise and many other mail servers with SMTP journaling functionality. Now, with the addition of Blu-Ray drive technology and DirectExport, the backup and production of email archive data is even faster.

"Even more exciting, we will be including the Blu-Ray disks and DirectExporttm option absolutely free on the U380, U3120 and U3160 Defender models for a limited time, clearly making the ArcMail Defender the leading Email Archiving appliance on a feature for value basis," added Richardson. "We recognize that budgets are tight and we believe our email archiving solution provides great value and ROI at a very attractive price point - as low as $2,999."

About ArcMail Technology
Founded in 2005, ArcMail Technology is a leading provider of simple, secure, and cost-effective email archiving and management solutions for organizations of all sizes. ArcMail Defender was recently granted the Network Products Guide 2008 Product Innovation Award.
Louisiana Governor's Office of Homeland Security Increases Disaster Preparedness Efforts by Leveraging ArcMail to Manage Critical Email

Shreveport, LA – July 15, 2008 – ArcMail Technology, a leader in email archiving and management solutions, today announced the Louisiana Governor’s Office of Homeland Security and Emergency Preparedness (GOHSEP) has implemented the ArcMail Defender to prevent future email archiving challenges, prepare for the increase of emails during disasters and make it easier to respond to legal discovery orders and requests for information during emergencies.

"Searching through hundreds of thousands of emails on our old system was a nightmare as we had to either search through every individual email box, back-up tape and disc or hand over all of our emails to the attorneys and let them do it, neither of which is a desirable option," said Peter Main, GOHSEP's IT director" .With Defender we can search by dates, subject, and other parameters and it only takes minutes instead of hours, saving us valuable time and resources, and simplifies the process of responding to discovery orders. Defender also provides secure and reliable built-in storage space, which we will leverage in the event of a disaster."

As the state of Louisiana's primary command center, GOHSEP can host up to 500 personnel from other agencies in the event of an emergency. Part of the agency's emergency-preparedness is to be capable immediately of handling a massive increase of emails resulting from a natural or man-made disaster. In such an event, the agency's email capacity could rapidly increase from its typical 5,000 messages per day to more than 15,000; many of which would include large, time-sensitive attachments such as photographs, maps, diagrams and reports - all critical to the agency's emergency response efforts.

Prior to deploying ArcMail, GOHSEP emails were stored in individual user mailboxes and on network backup tapes and PST files stored on CDs and DVDs. GOHSEP became aware of the inefficiency of its email archiving system when, shortly after Hurricane Katrina, the agency's email was subpoenaed in litigation related to the disaster. By implementing ArcMail Defender, GOHSEP will be able to immediately increase its email archiving capabilities, as well as access and search email archives quickly, enabling staff to quickly respond to victims' needs.

"We are thrilled to work with GOHSEP to quickly search for and access mission critical emails during and after emergencies," said Dean Richardson, vice president of sales for ArcMail Technology." ArcMail Defender's intuitive web-based interface and lightning fast searches have already, and will continue to make it easier for GOHSEP to search email archives and respond more quickly to discovery orders and requests for important information. Rather than worrying about email archiving, the agency can now focus its valuable resources on disaster preparedness and relief efforts."

For full details on GOHSEP's implementation of ArcMail, please read the case study available at:
http://www.arcmail.com/casestudies/index.php

About the Governor's Office of Homeland Security and Emergency Preparedness

ArcMail helps regional medical facility comply with the Health Insurance Portability Accountability Act (HIPAA) and the Federal Rules of Civil Procedure (FRCP)

Shreveport, La. – July 2, 2008 – For Sacred Heart Hospital, a regional medical facility in Eau Claire, Wis., archiving email is not only a good business practice, it is also critical for meeting certain compliance standards outlined by the Health Insurance Portability Accountability Act (HIPAA) and the Federal Rules of Civil Procedure (FRCP). In an effort to meet these standards, Sacred Heart deployed ArcMail Defender, an email archiving and management solution that runs seamlessly in the background of the hospital’s network infrastructure.

With email being Sacred Heart Hospital’s primary medium for internal and external communications and document exchange for its 1,600 employees, the hospital needed a more secure and efficient solution for storing and recovering email. After evaluating several email archiving solutions, Sacred Heart selected ArcMail Defender for its ability to automatically index and store all incoming, outgoing and internal email messages.

“Among all the archiving solutions we evaluated, ArcMail Defender provided the best functionality and most cost-saving benefits,” said Brian Jorgenson, systems administrator for Sacred Heart Hospital in Eau Claire, Wisconsin. “Defender was easy to implement and configure, and we literally had Defender up and running in under an hour. ArcMail’s technology gives us tremendous peace of mind by providing a strong email archiving solution that is helping us to comply with federal and industry compliance standards.”

ArcMail Defender is a self-contained email archiving appliance, and all necessary software and storage hardware are included within the Defender solution. Since installing Defender, Sacred Heart Hospital has been able to increase server capacity by 30 to 40 percent. The hospital has also seen improvements in employee productivity as Defender has reduced document retrieval time from hours to minutes, eliminated the hassles of full mailboxes or the need to manually archiving personal email.

“We realize how important email retrieval and archiving is for healthcare organizations such as Sacred Heart, which needs to maintain records for compliance purposes,” said Dean Richardson, vice president of sales for ArcMail Technology. “With Defender in place, administrators, staff and healthcare professionals at Sacred Heart are able to worry less about managing their email and focus more on what they do best, which is care for patients. We appreciate the trust Sacred Heart has placed in our product to secure their email archives and meet the standards defined by HIPAA and FRCP.”

About Sacred Heart Hospital
Sacred Heart Hospital is an affiliate of the Hospital Sisters Health System. Since 1889 it has been meeting patient needs in western Wisconsin with the latest medical innovations and technology, together with a Franciscan whole-person healing tradition.

South Bend Community School Corporation Deploys ArcMail Defender to Satisfy FRCP Archiving Requirements

Shreveport, LA – June 11, 2008 – In an effort to comply with new discovery amendments outlined in the Federal Rules of Civil Procedure (FRCP), network administrators at South Bend Community School Corporation (SBCSC) determined the organization needed to reevaluate its current email archiving practices. After reviewing a number of archiving solutions, the SBCSC deployed ArcMail Defender, a self-contained, turnkey email archiving appliance that allows South Bend to retain electronic data so it can be produced quickly and easily in the event of discovery requests.

The Indiana school corporation has 3,100 employees and nearly 22,000 students across 38 locations. According to Patrick Stalvey, SBCSC's network administrator, compliance with the FRCP was the primary objective in implementing the ArcMail solution. He also indicated that ArcMail provided other key features that he was looking for in an archiving solution, including easy setup and configuration, low maintenance, and the capability of archiving more than 250,000 emails each day.

"Setup of ArcMail Defender was much easier than what we would have had to do with other vendors," added Stalvey. "The actual installation and setup took about 30 minutes, and there was no downtime while we switched archiving from the old solution to ArcMail. Compared to the other solutions we looked at, ArcMail Defender is also much easier to maintain. Other than checking the updates and stats, I really have no daily interaction with it. It just works."

The ArcMail Defender archive serves as a secure and complete record of all district communications and transactions conducted via email. This data is centrally stored on ArcMail Defender instead of taking up space on the district’s Exchange server. Email and attachments can be easily found and restored through the Web-based interface, but cannot be altered or deleted.

"Any organization that operates within the United States could potentially face litigation, and meeting FRCP guidelines will certainly incline the courts in their favor. And with the new Sunshine Laws that more states are adopting that require that most types of information be open to the public, it is important that data be archived and preserved," said Dean Richardson, vice president of sales for ArcMail Technology. "Failure to produce requested emails and attachments could result in fines that could prove costly to schools that operate on very tight budgets. Our archiving solutions make it easy and affordable for all sized organizations to meet the federal standards, while providing a solution that will make it easier for everyone to search, find and restore their archived emails."

About South Bend Community School Corporation
Located in north-central Indiana, South Bend Community School Corporation is St. Joseph County’s oldest and largest school corporation, and the fourth largest school corporation in Indiana. SBCSC serves traditional K-12 students, special needs students from preschool through age 22, and a large number of adult students. SBCSC has 3,500 employees and more than 21,000 students spread out in 35 school buildings and five support facilities in a geographical area covering 160 square miles.

ArcMail Technology Launches ArcMail Defender U3160

New appliance provides 16 terabytes of storage and data integrity encryption technology to help organizations archive and manage email

Shreveport, LA – June 2, 2008 – ArcMail Technology, a leading provider of email archiving and management technology, today announced the release of ArcMail Defender U3160. ArcMail Defender, which was recently awarded the Network Products Guide 2008 Product Innovation Award, is a stand-alone network appliance offering 16 terabytes of storage and data integrity technology that provides comprehensive archive and data management for medium to large organizations. With the ArcMail Defender U3160, organizations can maintain important business information and intellectual property found in email communications, meet compliance and legal standards, improve productivity and reduce the burden on IT.

"The ArcMail Defender U3160 now offers 16 terabytes of storage and comprehensive archive and data management so no important communication is lost. With email as the defacto means of communication today, organizations are more closely tracking the information that flows to and from the boundary," said Todd Gates, chief executive officer of ArcMail Technology. "People really use email today as a modern day filing cabinet. There is a huge amount of intellectual property sitting in every organization’s email that just shouldn’t be deleted. Archiving is a critical piece of the business puzzle in maintaining and managing that information."

The ArcMail Defender U3160 appliance is a transparent solution that runs seamlessly in the background of a network infrastructure without interrupting productivity or work flow. With a simple Web-based interface, administrators and end-users can search and retrieve information they need while at the office or remotely. Users can launch the ArcMail Defender U3160 directly from Outlook to instantly search and restore emails, and administrators can monitor system settings and produce reports to ensure that email is being successfully archived. The rack-ready Arcmail Defender U3160 provides 16 TB of storage space and is enabled with data integrity encryption technology to ensure backed-up and restored data cannot be altered.

Added Gates, "Defender delivers more storage and more power to allow much larger organizations to capitalize on ArcMail’s proven technology delivered through an easy-to-use, easy-to-install, and easy-to-manage appliance. We are committed to helping organizations maintain the important data that is held in email communications."

The award-winning ArcMail Defender U3160 captures all inbound, outbound and internal email using the mail server’s journaling function, which indexes the email header and text information. The new appliance operates on the Linux platform and is compatible with MS Exchange, Lotus Notes, Groupwise and many other mail servers with SMTP journaling functionality. It is also compatible with Active Directory, which allows automatic user account management.

Pricing and Availability
As an introductory special, the ArcMail Defender U3160, with 4 terabytes more storage than the Defender U3120, is available for a limited time for the same price as the ArcMail Defender U3120.
Franklin Synergy Bank Implements ArcMail Defender to Prepare for Future Growth

Appliance-based email archiving solution helps young bank establish solid regulatory and legislative compliance practices

Shreveport, LA – April 24, 2008 – As a result of its early success, Franklin Synergy Bank of Tennessee is facing tremendous future growth opportunities. To prepare for its inevitable expansion, the single branch bank in Franklin, Tenn. recently deployed ArcMail Defender, a flexible email archiving solution that helps the bank immediately establish SEC and Sarbanes-Oxley compliant electronic document retention practices. The appliance-based solution enables the bank to manage an increasing volume of email, as well as readily comply with current and future regulatory and legislative requirements.

"I am confident that ArcMail will facilitate growth by enabling Franklin Synergy to prepare for the increasing volume of emails, as well as industry and regulatory requirements," said Kevin Herrington, chief information officer of Franklin Synergy Bank. "Email is a critical communications tool for our bank, and people get frustrated with application problems and get impatient when the Internet goes down. Lose emails on the other hand, and things can get ugly pretty fast."

Herrington continued, "Knowing that Defender has us covered is a lifesaver. With Defender, there is no need for users to copy email onto their hard drives before clearing their mailboxes. They simply delete it, and if they need to retrieve a message or attachment, they can find and restore it from the archive in a matter of a few seconds. ArcMail has proven to me that it is the right email archiving solution for our bank."

In addition to giving the bank a solid foundation for the future, ArcMail Defender provides Franklin Synergy with the following benefits:

Competitive price-point;

Easy integration with Microsoft Exchange;

Easy configuration and use, with minimal IT intervention;

Quick and easy email search and restore functions; and

First-class customer support.

"For a small, growing bank like Franklin Synergy, technology needs to be non-obtrusive and easy-to-use," stated Dean Richardson, vice president of sales for ArcMail Technology. "Defender was built to make it easy for organizations of any size to have best-of-breed email archiving. With minor set-up requirements, the bank's IT department was able to quickly deploy Defender, and then has been able to let it run with very little ongoing management. With the bank focused on growth, Defender helps prepare Franklin Synergy for what lies ahead, from email volume, to laws and guidelines and even legal discovery processes. We appreciate Franklin Synergy putting its trust in our solution, and we looking forward to growing with the young bank."

ArcMail Technology Alert: Story of Cheney's Missing E-Mails Highlights Need for Email Archiving Technologies

Shreveport, LA. – March 3, 2008 – According to an Associate Press article posted on MSNBC.com (http://www.msnbc.msn.com/id/23367672) dated February 27, 2008,

"When Special Counsel Patrick Fitzgerald wanted to find out what was going on inside Vice President Dick Cheney's office, the prosecutor in the CIA leak probe made a logical move. He dropped a grand jury subpoena on the White House for all the relevant e-mail. "One problem: Even though White House computer technicians hunted high and low, an entire week's worth of e-mail from Cheney's office was missing."

Among the issues noted in the article was the fact that, "There was no automatic system to ensure that e-mail was archived and preserved."

"A key reason organizations need to archive data is so that it can be found in case of a lawsuit or an investigation by a regulatory agency. What we see here is that Cheney’s emails were subpoenaed but subsequently could not be found,” said Todd Gates, CEO of ArcMail Technology. “There are many archiving technologies, ArcMail Defender included, that can simply and easily help individuals and organizations secure email and find it on the fly. This embarrassment for the Administration could have been easily prevented with the right tools."

ArcMail's flagship solution, ArcMail Defender, is self-contained appliance that automatically captures all inbound, outbound and internal email. Defender is easy to install and configure, and does not require additional software or hardware.

"This article from the Associated Press underscores the need for email archiving and management solutions for all organizations—large to small," noted Gates. “Organizations, both public and private, have a need to preserve information. Government officials and agencies also have a public responsibility to do so. ”

Destructive Email Retention Policies Dangerous for Today’s Businesses

ArcMail white paper discusses role of archiving and destructive retention policies in business; archiving provides greater protection for today’s email-laden organizations

Shreveport, LA – February 19, 2008 – Given the role and popularity of email in business today, companies are faced with a significant dilemma of how to balance email security with storage. According to a new white paper from ArcMail Technology, entitled “Email Archiving vs. Destructive Retention Policies,” the dilemma is forcing companies to question if and when is it more appropriate to archive email versus implement a destructive retention policy that deletes email after a specified length of time. While there are several arguments for destructive retention policies, ultimately, the threat of litigation, industry and government compliance regulations and the challenge of maintaining employee productivity are driving more organizations to adopt email archiving policies.

"For this paper, we focused on the three core arguments that advocates of destructive retention continue to use to support the practice of simply deleting emails, and the three core arguments why archiving is a better solution," said Todd Gates, chief executive officer of ArcMail Technology. "While the dilemma between security and storage is a major concern for companies, it is being eclipsed by the importance of companies to protect themselves in the event of litigation, and to ensure that they continue to comply with government and industry regulations. In the end, destructive email retention policies are dangerous for today’s businesses."

The white paper discusses three arguments advocates use for practicing destructive retention policies:

Change from the traditional retention policies – Change can be difficult, especially within organizations that have entrenched policies or limited technology capabilities

Storage/Data Overload – Deleting emails can help reduce the management requirements and storage strain on IT departments

Eliminate the potential threat of data loss/leakage – Data leaks can be very expensive and by deleting the emails, companies can reduce the threat.

While advocates of destructive retention policies may have security and storage concerns, email plays a central role in communications and the courts have deemed email to be business records. As a result, it must be preserved.

"While destructive retention policies certainly help to address the security/storage dilemma, the regularly scheduled destruction of emails creates a variety of new challenges for companies that could cost them more than money," added Gates. "Advanced archiving policies and technology, such as ArcMail Defender, can help to temper any arguments for destructive retention policies while helping to support compliance, litigation and productivity arguments for email archiving."

ArcMail Sponsored White Paper Outlines Reasons to Deploy Messaging Archiving Capabilities

Messaging archiving helps resolve a wide range of legal compliance, regulatory, storage management, knowledge management and other business problems

Shreveport, LA – February 6, 2008 – There are a variety of reasons to deploy messaging archiving, any one of which can often justify the entire cost of the archiving capability,” this according to a new ArcMail sponsored white paper titled “A Guide to Messaging Archiving.” The paper, written by Osterman Research, outlines multiple reasons why organizations should deploy messaging archiving capabilities and identifies several factors to consider when selecting an archiving system.

"As many companies continue to experience, failing to archive email can be a very expensive oversight, both in terms of time and money," said Todd Gates, chief executive officer of ArcMail Technology. "With the technology that is available today, there are very few barriers to deploying an effective and affordable solution that can help companies address the legal-compliance, regulatory, storage and other business challenges of managing their increasing volume of electronic messaging. As the paper points out, failing to deploy an effective solution, however, could have 'serious and negative consequences.'"

In addition to avoiding the rising costs of e-discovery and the fines associated with non-compliance and litigation issues, the white paper provides several other reasons for deploying a messaging archiving solution, including:

Storage Management – With email storage growing at an average rate of 35% annually, the majority of decision makers are looking at this growth as their number one messaging-related problem.

Regulatory Compliance – From the SEC to OSHA, virtually all organizations are subject to regulations or records requirements. Because email is “housing a greater proportion of corporate and other records,” it is becoming increasingly more important to archive email in order to be compliant with industry and government regulations.

Knowledge Management – According to the white paper, email contains 75 percent of all information that individuals use on a daily basis. When an organization fails to archive the data, they risk losing potentially vital business information that could be used for the benefit of future employees and projects.

The white paper also discusses several factors to consider when deploying a messaging solution, including the pros and cons of various delivery models, such as internal software, appliances and hosted services. Other factors to consider are opportunity costs, platform, availability or up-time, scalability, ease-of-use and extensibility for non-messaging archiving.

"This white paper is a great starting point for companies looking for ways to address business challenges associated with email archiving," added Gates. "A messaging archiving solution, such as the ArcMail Defender, archives emails in such a way that organizations can easily meet compliance standards, effectively respond to e-discovery requirements in the event of litigation, and quickly produce important emails that may impact a business decision."
